For our client, a private bank located in the heart of Zurich, we are seeking an experienced Administration Officer to join their dynamic team. The ideal candidate brings expertise in administrative and operational office management and is available to work flexibly at a 40% workload capacity.

Job description

Description of responsibilities:

  • Manage incoming calls.
  • Prepare and maintain meeting rooms, including welcoming visitors.
  • Coordinate catering for internal and external meetings.
  • Plan and organize events (e.g., town halls) and international meetings.
  • Prepare expense reports for senior management.
  • Distribute and collect documents for board meetings and audits.
  • Arrange business travel for employees.
  • Support marketing activities (e.g., events, vouchers, gifts, and cards).
  • Handle internal and external mail, including courier services.
  • Perform general administrative tasks (e.g., monthly client mailings, key/badge management,document scanning).
  • Oversee office equipment maintenance and resolve technical issues.

Expected profile

  • Commercial Apprenticeship or equivalent qualification.

  • Exceptional organizational skills with a proactive mindset and the ability to effectively prioritize tasks.
  • Professional, friendly, and trustworthy demeanor.
  • Flexible and proactive approach to responsibilities.
